Tools and integrations

A tool lets the agent do something in your own systems during a conversation: check free appointment slots, look up an order, or save a booking. When the moment comes, Foan sends the details to a web address you own and the agent reads out the answer.

You will need: a web address (webhook) on your side that accepts the request and answers it. Your developer sets this up. An agent can have up to 5 tools.

On the agent page, open Integrations and press Create Tool.

Under Basics:

Field What to enter
Action name What your team sees, for example “Check free slots”.
Instructions When to use the tool and what to do, in plain English. “Use this when the caller wants an appointment. Ask for the day they prefer before calling.”

3. List what the agent must ask first (optional)

Section titled “3. List what the agent must ask first (optional)”

Under Questions, press Add Question for each detail the agent must collect before it uses the tool. For each one:

  • Question: what the agent asks, for example “Which day suits you?”
  • Answer key: the name the answer is sent under, for example preferred_day.
  • Type: Text, Date & time, Yes / No, Choice, Phone number or List of text.
  • Mapped value: fill this in instead of asking, for example the caller’s name you already have.
  • Required: whether the agent must get this answer.

Under Webhook, paste your Webhook URL. If your system needs a key, put it in Bearer token. You can leave Timeout (ms) and Retries as they are.

Under Behavior you can choose Confirm before running (the agent checks with the caller first), turn on Prevent duplicates, and write what the agent says while it waits (Say while running) and after (Say on success, Say on failure).

Press Save Tool, then Save on the agent. Test it with a web call.

Save Tool does nothing and shows "Webhook URL is required" or "Must start with http:// or https://"

The Webhook URL is empty or is not a full web address. Paste the full address, starting with https://.

Save Tool shows "Action name is required" or "Instructions are required"

Both boxes under Basics must be filled in. The agent uses the instructions to decide when to call the tool.

Save Tool shows "A tool with this name already exists"

Another tool on this agent has the same action name. Give this one a different name.

Saving the agent says "Maximum 5 function tools allowed per agent"

An agent can have up to 5 tools. Delete the ones you do not need from Integrations, then save again.
